Logistics Manager

Responsible to: Finance and Operations Director


We are looking for a highly motivated Logistics Manager to plan and oversee all inhouse logistics for a premium womenswear fashion brand. The Logistics Manager will play an important role in synchronising stock movements and logistics across departments, working mainly with the Production and Wholesale departments, but also with Finance, E-commerce and Retail. You will also be the important first point of contact for our Third-Party Logistics Partner (3PL).

Main Duties and Responsibilities
  • Oversee all stock movements and logistics function in the business
  • Main point of contact for 3PL (third-party logistics partner) including working on and providing weekly volume forecasts
  • Main point of contact in the business for any stock related questions and ensure key stakeholders (Wholesale, Retail, E-commerce, Marketing Finance and Product) are regularly updated on seasonal deliveries and status
  • Ensure stock related information in the ERP (Enterprise Resource Planning System) is correct and constantly updated
  • Manage relationships with couriers and freight partners and negotiate rates
  • Manage the inhouse staff order program, ensure it is accounted for and reported on correctly to finance
  • Deal with faulty stock and repairs
  • Work alongside Finance, liaising with customers regarding Proforma Payments
  • Provide the finance team with quarterly inventory / stock take reports
  • Oversee and manage logistics budget including trackers and supplier invoices
  • Plan and oversee factory deliveries; liaising with Product Team, freight forwarders and 3PL
  • Request and analyse freight and courier quotations to find best solution
  • Export stock Purchase Orders from the PLM system and upload on ERP
  • Prepare and file all necessary documentation, including packing lists, commercial invoices etc.
  • Manage the AQL pipeline with the 3PL
  • Weekly update and communicate the delivery schedule
  • Check factory invoices against purchase orders and goods delivered creating a Factory DX chart to share with the Product Team
  • Create Purchase Orders for pre-shipment samples and ensure these are returned to stock
  • Liaise duty and VAT payments when needed with Finance team
  • File claims when necessary
  • Update ERP with changes in RRPs, Costs, and quantity
  • Create POs for Reorders on the ERP
  • Create and refresh a freight/margin impact cheat sheet for quick cost analysis to test a more reactive supply chain
  • Manage the inhouse samples
  • Manage stock loans for press or photoshoots (outbound, tracking and returns)
  • Send out and ensure all gifting, is accounted for and reported on correctly to finance
  • Book and track courier services
  • Oversee and log all wholesale orders
  • Coordinate deliveries and shipments, ensuring they are fulfilled correctly and on time, liaising with retailers, 3PL and Finance team
  • Book deliveries with retailers
  • Responsible for wholesale return coordination, timely processing and relevant reporting to finance and wholesale teams
  • Organise fabric swatch pack send outs to retailers
  • Book sample collection deliveries for showroom  
  • Monitor retailers’ stock levels, sell through and performance
  • Manage stock transfers and fulfilment to pop-up stores weekly, instructed by Merchandiser
  • Assist with preparation of Off-Price stock proposals
  • Manage returns to warehouse end of season
  • Manage personal orders from private client events and pre order events
  • Logistical support annual sample sales
 Key Personal Competencies /Skills
  • Previous experience in a similar role with exposure to domestic as well as international freight, including customs
  • Excellent at planning, organizing and prioritizing workload and tasks within a dynamic and fast paced environment
  • Hands on approach and “can-do” mentality
  • Highly analytical and logical with a big picture understanding of stock movements in a business
  • An interest in developing processes and a desire to ensure efficiency and effectiveness

    Job Title: Wholesale Coordinator (part time)

    Responsible to: Finance and Operations Director
    Working closely with: Logistics Manager and Wholesale Sales  


    We are looking for a highly motivated wholesale administrator to help grow the business for a high-profile premium womenswear fashion brand. This role is a crucial part of a small, dynamic and fast-growing team based in London, and will be working with major department stores and boutiques in the UK as well as internationally. Communication and organisational skills are key, both in relation to our wholesale partners and other departments within the company.

     The role is part time (ideally 50% but can be discussed). We can offer some flexibility working from home when suitable, but the role will require working from the office/showroom around market dates, and seasonal store visits and staff training on site with our retail partners.

    Main Duties and Responsibilities
    • Organise presentations of new collections to premium retail buyers both in London and internationally (organise showroom setup, schedule and manage appointments, participate in sale meetings with buyers and take orders)
    • Preparing showroom, samples and materials ahead of markets
    • Manage order entry and sending through order confirmations
    • Manage relationships with new and existing buyers and buyers’ assistants throughout the season
    • Work closely with the shipping and logistics team to ensure timely deadlines are met
    • Work closely with the finance team around invoicing and payment terms
    • Managing a weekly sell through report update
    • Present sales reports and findings to the team on a regular basis
    • Prepare and present sales analysis and reports, with style information that can be useful to merchandising and design teams to forecast development and consumer behaviour
    • Ensure information in the ERP and CRM systems is constantly updated and correct
    • Monitor customers’ stock levels, sell through and performance and quickly act on information to place reorders, make possible stock rotations or other sales driving activities
    • Organise and participate in tore visits, staff training, and in store events and brand building promotions with partners
    • Manage personal orders, and support on private client events
    Candidate’s background
    • Experience working within wholesale, ideally in the premium / luxury fashion sector
    • Previous contacts and relationships with wholesale accounts is a big plus
    • Excellent knowledge of Excel and all MS Office applications
